Personal data
Personal data is all data that can be used to identify individuals.
We have taken measures to minimize the amount of data we collect.

General
Neptunus takes the protection of your personal data very seriously. The purpose of this privacy policy is to give you clear and transparent information about how we handle personal data.

We do everything we can to safeguard your privacy, and therefore treat your personal data with the utmost care. Neptunus complies at all times with applicable laws and regulations, including the General Data Protection Regulation (GDPR). This implies in all cases that:

  • We process your personal data only for the purposes for which it has been provided; this purposes and the types of personal data are set out in this privacy policy
  • We process only the minimum amount of data required for the purposes for which they are being processed.
  • We ask for your explicit consent if we need it to process your personal data;
  • We have taken appropriate technical and organizational measures to guarantee the security of your personal data;
  • We do not transfer personal data to other parties unless this is necessary for the purposes for which it has been provided or to meet a statutory obligation.
  • We are aware of your rights regarding your personal data; we draw your attention to them and respect them.

Google Analytics
We use Google Analytics to collect information about website visits. This provides us with information about all visitors to our website. We use this as a tool to check whether certain promotions are working and where there are peaks in orders, for example.
We anonymize all IP addresses that we collect through Google Analytics. This means that we do not forward your full IP address to Google Analytics. We therefore do not know your specific location.

Opt-out for Google Analytics
If you would prefer to block the Analytics script, you can download an opt-out plugin for Google Analytics here: https://tools.google.com/dlpage/gaoptout. This plugin ensures that your visit is no longer included in the statistics of all websites that use Google Analytics.

Statistics on the server
No statistics are kept on our server. We have deactivated this feature in consultation with the hosting provider.
Our hosting provider does however keep track of the IP addresses of visitors to a limited extent. These IP addresses cannot be directly accessed via a website. Our hosting provider does this for security reasons. In the event of an attack, it is essential for our hosting provider to be able to trace the hacker. This can only be done using an IP address.

Tracking website visits
Neptunus Group B.V. uses Google cookies and scripts to analyse how you use our websites in anonymized form so that we can modify functionality, improve effectiveness, and display advertisements. A cookie is a small text file that is stored on your computer, tablet, or smartphone when you visit this website for the first time. We also use Facebook cookies and scripts with your specific consent so that we can integrate social media on our website. If you would like to know more about our cookies, click here. You can refuse cookies by configuring your internet browser in such a way that it no longer stores them. You can also use your browser settings to delete all information previously stored.

Processing the of personal data of customers, suppliers, and visitors
Neptunus processes the personal data of customers, suppliers, and visitors for the following purposes:

  • Administrative purposes
  • Communication about the order and invitations;
  • Performing or placing an order.

This personal data is stored for the following reasons:

  • The agreed order
  • Commercial activities in the interest of Neptunus B.V.
  • Informing stakeholders

For the purposes set out above, Neptunus may ask you to provide the following personal data:

  • Forename
  • Surname prefix (if applicable)
  • Surname
  • Business telephone number
  • Business e-mail address

Neptunus stores your personal data for the purpose set out above for the following period:

  • During the term of the agreement and afterwards only in the financial administration as required by law.

Processing the personal data of prospects, stakeholders/lobby contacts and other interested parties
The personal data of prospects, stakeholders, and other interested parties is processed by Neptunus for the following purposes:

  • Providing information in the form of newsletters or targeted contacts.

This personal data is stored for the following reasons:

  • Oral consent, presenting a business card, link to social media, or subscribing to newsletters

For the purposes set out above, Neptunus may ask you to provide following personal data:

  • Forename
  • Surname prefix (if applicable)
  • Surname
  • Telephone number
  • E-mail address.

Neptunus stores your personal data for the purposes set out above for the following period:

  • During the period that contacts are regarded as prospects, stakeholder/lobby contacts and/or interested parties.

 

Transferring data to third parties

We may pass on the information you provide to us to third parties if necessary for the purposes set out above.

For example, we use the services of a third party for:

  • Conducting our financial and other administrative processes
  • Sending newsletters and invitations
  • Website and visitor registration (analysis, etc.)

 

We never pass on personal data to any other parties unless we have entered into a processor agreement with them. We will of course make the necessary arrangements with these processors to guarantee the security of your personal data. We will also not pass on the data you provide us to any other parties, unless we are required or permitted to do so by law. The police may ask us to pass on personal data as part of an investigation, for example. We are obliged to cooperate in such cases and are to issue the data. We may also share personal data with third parties if you give us your written consent to do so.

 

Within the EU
We do not transfer any personal data to parties established outside the EU.

 Minors
We only process the personal data of people under the age of 16 with the written permission of the parent, carer, or legal guardian.

Retention period
Neptunus does not retain personal data for longer than is necessary for the purpose for which it has been provided or as required by law.

Security
We have taken appropriate technical and organizational measures to protect your personal data against unlawful processing. The measures include the following:

  • All those with access to your data on behalf of Neptunus are obliged to protect its confidentiality.
  • We operate a user name and password policy on all of our systems;
  • We pseudonymize and encrypt personal data if there is any reason to do so;
  • We make backups of the personal data in order to recover it in the event of physical or technical incidents
  • We regularly test and evaluate our measures
  • Our employees have been informed about the importance of protecting personal data.

 

Rights concerning your personal data
You have the right to access, rectify, or erase the personal data we have received from you. You can also object to some or all of your personal data being processed by us or one of our processors. You also have the right to instruct us to transfer the data you have provided directly to another party. We may ask you to identify yourself before meeting these requests.
If you have given us your consent to process your personal data, you always have the right to withdraw that consent.
Requests will be processed within four weeks.

Complaints
If you have a complaint about the processing of your personal data, please contact us directly. In the unlikely event that are unable to resolve the matter in consultation, you always have the right to lodge a complaint with the Dutch Data Protection Authority where Neptunus’s head office is located.
