How to Utilise a Temporary Structure for Your Next Event

How to Utilise a Temporary Structure for Your Next Event

You’re organising a product launch for 500 guests, but every traditional venue is fully booked or doesn’t match your brand vision. Perhaps you’re planning a festival requiring distinct zones for performances, hospitality, and vendors. Or coordinating a corporate celebration demanding both flexibility and sophistication.

Traditional venues dictate where your event happens, charge premium rates for peak dates, and lock you into fixed configurations that rarely align perfectly with your vision. For event organisers refusing to let venue limitations hold them back, temporary structures have revolutionised the UK events industry.

Modern temporary event structures have evolved from basic marquees into sophisticated venues rivalling permanent buildings in functionality and aesthetics. Suitable for intimate corporate gatherings of 50 people to sprawling festivals hosting hundreds of thousands, these versatile solutions deliver what permanent venues cannot: complete location freedom, full branding control, and rapid deployment.

What Defines a Temporary Event Structure?

A temporary event structure is any building designed for portability and short-term use, distinguished by three key characteristics: efficient erection and dismantling, flexibility in where the structure can be built and configured, and duration ranging from a single day to several years.

Unlike permanent venues built on fixed foundations, temporary structures use lightweight yet robust materials, including aluminium frames, high-grade PVC coverings, and tensioned fabric membranes. These materials enable rapid deployment whilst maintaining structural integrity and weather resistance, meeting British and European safety standards.

Timeframes vary enormously. Wedding marquees might stand for a weekend, whilst warehouse expansions could remain operational for years. Event structures typically fall somewhere between, from single-day conferences to longer term conferences, exhibition, and festival use.

This distinction matters for planning regulations. In England, structures erected for fewer than 28 days often require no planning permission, provided they meet certain size criteria. This flexibility proves invaluable for event organisers working within tight timescales or exploring unconventional locations.

Why Choose Temporary Structures Over Permanent Venues?

With nearly 90 years of experience, we’ve watched the events industry evolve, yet one truth remains: temporary structures offer advantages permanent venues cannot match.

  • Location Freedom

Choose your perfect location, whether that’s a city centre car park, scenic coastal clifftop, or even floating on water. We’ve installed structures on challenging sites from Cornish beaches to London rooftops, transforming any space into your ideal event environment.

Your event goes where your audience is, not the other way around.

  • Significant Cost Savings

Permanent venues charge premium rates for peak dates and include costs you cannot control.

You avoid expensive venue rental fees, minimum spend requirements, and restrictive catering contracts. For corporate clients, this often translates to significant savings compared to traditional venues, with complete branded environments that permanent venues cannot offer.

  • Complete Scalability

Our structures scale from intimate 20 sqm pavilions to expansive 20,000 sqm exhibition halls, and beyond, adapting precisely to your attendance numbers and spatial requirements.

Festival organisers have grown events from 10,000 to 200,000+ attendees using our modular systems, impossible with fixed-capacity permanent venues.

  • Full Branding Control

Your brand deserves more than hired space with someone else’s aesthetic. Temporary structures provide blank canvases for complete brand immersion.

We’ve transformed structures into premium automotive showrooms for McLaren, created immersive themed environments for Tomorrowland, and delivered award-winning branded hospitality for the ATP Queens Tennis Championships. Every element, from exterior cladding colours to interior finishes, reflects your brand identity.

  • Rapid Installation Without Long-Term Commitment

Our experienced installation teams erect structures in days, not months. For Pinkpop Festival, we installed a 50-metre span Alure Globe Giant that became the festival’s centrepiece, then completely removed it within a week of the event’s conclusion.

This rapid deployment means you get world-class facilities exactly when needed without long-term property commitments, ongoing maintenance costs, or planning restrictions permanent buildings require.

Types of Temporary Structures for Events

Clearspan Marquees and Alu-Hall Structures

Our clearspan marquees feature no internal supports whatsoever, creating completely unobstructed interior spaces with maximum layout flexibility. Every square meter remains usable for conference seating, networking zones, or exhibition stands requiring clear sightlines.

We offer sizes from 100 square metres through to massive 5,000+ square metre halls accommodating thousands. This scalability makes them ideal for conferences, exhibitions, trade shows, and large corporate events.

Our Alu Hall Structures consist of a clear span aluminium framework offering the perfect solution for any event. The Alu Hall is a multipurpose, clear span structure, available in a multitude of widths which can also be linked together as well as to any other type of Neptunus temporary structure. And whatever style you are looking for, the Alu Hall can be adapted to your particular event design.

How Neptunus Built the Centrepiece Pavilion for Pinkpop Festival’s 50th Anniversary

When Pinkpop Festival celebrated its 50th anniversary, attracting 200,000+ visitors, they needed something extraordinary. The challenge combined functional venue requirements with celebratory symbolism at the shared Megaland site.

Neptunus Structure for Pinkpop Festival

We delivered our Alure Globe Giant as the centrepiece Brightlands Stage pavilion. The 50-metre free span created unobstructed space for thousands, whilst the distinctive curved roof provided architectural drama and excellent acoustics. Custom pink colour scheme transformed it into an instantly recognisable celebration of Pinkpop’s heritage.

Despite complex logistics including 12 large structural beams transported from Germany, tight installation windows, and challenging site access, our team delivered on schedule. The structure became one of the anniversary’s most photographed features.

Pagoda and Pavilion Marquees

Our Mercury and Saturn Marquees feature square and hexagonal floor plans with distinctive external frames creating architectural presence far beyond standard marquee aesthetics.

These excel as VIP areas signalling exclusivity, entrance structures creating strong first impressions, hospitality zones offering sophistication, or intimate gatherings of 20-100 guests where atmosphere matters as much as capacity.

Our Pluto, Mars & Jupiter Pagoda’s are ideally suited for national lifestyle fairs, culinary events, promotional villages or any other outdoor events. These structures with their pointed roofs are also used as stylish welcome and entry points for guests at exhibitions, private functions and corporate gatherings.

We often recommend pagodas as satellite structures connected to larger clearspan marquees, creating visual interest whilst allowing functional separation for entrance canopies, breakout meeting spaces, or premium bars.

Multi-Deck Temporary Structures

Our double and triple-deck configurations multiply usable floor area without expanding ground footprint, invaluable in urban settings where site size restricts capacity.

Corporate functions often use double-deck configurations with ground-floor reception spaces and upper-level dining offering elevated views. Sporting events benefit from tiered hospitality suites, whilst festivals create distinct experiences at different levels.

Delivering Premier Hospitality for the LTA Championships at Queen’s Club

The prestigious Queen’s Club Championships required sophisticated hospitality infrastructure matching its premier grass court status. They needed permanent-venue quality for VIP guests, partners, media, and general spectators.

Neptunus structures assembled at The Cinch Championships at Queen’s in West Kensington, London.

We delivered a 3,300-square-metre two-storey Evolution II structure, transforming the grounds into a comprehensive hospitality destination. The ground floor accommodated public dining and refreshment areas with easy general admission access.

The upper level housed a VIP restaurant with elevated court views, Partners Suites for private hospitality, and a soundproofed media centre for journalists and broadcasters.

We incorporated comprehensive climate control, lighting transitioning from daytime to evening ambience, modern furnishings indistinguishable from permanent construction, and outdoor hospitality areas seamlessly connected to the main structure.

This project earned us the Best Temporary Structure Supplier award at the 2022 Event Production Awards, validating not just scale but execution quality and sophisticated solutions we delivered.

The Ocean Structure

Our Ocean structure features a spectacular waving membrane roof creating immediate visual impact, with heights ranging from 4 metres at the sides sweeping to 12.5 metres at the peaks.

This dramatic profile has graced numerous high-profile corporate celebrations, including the Ten Brinke Group’s 115th anniversary, where the waving roof served as both a practical shelter and a powerful symbol of dynamic vision.

The Ocean structure provides practical advantages for events requiring significant vertical clearance: product launches with large machinery, exhibitions with tall displays, performances requiring aerial rigging, or events wanting unusually spacious, airy atmospheres.

Evolution Structures

Built using sustainable materials and featuring innovative hydraulic lifting technology, Evolution structures assemble remarkably quickly, some configurations fully installed in days rather than weeks.

Our Evolution structures utilise modular, reusable components designed for decades of service across hundreds of installations. Bolt-together assembly requires no cutting, drilling, or permanent modifications, enabling complete component reuse without waste.

Salacia Structures

A Floating Architectural Icon for Tomorrowland 2017

Tomorrowland 2017 needed an iconic centrepiece for 400,000 attendees that would capture imaginations whilst providing practical event space. The challenge included constructing on water in the Garden of Madness area with compressed installation timelines.

Temporary structures for festivals

We designed the Salacia, a circular structure named after a Roman sea goddess, built on floating pontoons. The 30-metre clear span created vast interior volume without support columns, offering completely flexible space.

Our Evolution series construction with hydraulic lifting technology enabled efficient installation despite complex floating foundation challenges, including water level variations, wave action, and specialised safety protocols.

The project extended beyond the Salacia to include a three-storey VIP area and floating bar lounge, creating a cohesive waterfront district.

Maximising Your Event with Customisation

  • Exterior Customisation

We offer custom printed covers featuring your branding that transform plain structures into powerful brand statements as an optional additional cost extra. Glass wall panels create modern aesthetics whilst maximising natural light. Weather-resistant coatings extend structural lifespan.

Architectural elements, including strategic window placement, entrance features, clear roof sections, and multi-level configurations, optimise both aesthetics and function.

  • Premium Product Launches

Premium brands require environments reflecting their positioning whilst providing controlled settings for product showcases. Our work with McLaren’s automotive launches and Saga’s Spirit of Discovery cruise ship launch demonstrates this perfectly.

Neptunus structures assembled at Port of Dover Cruise Terminal during the launch of the SAGA ship, Spirit of Discovery. The launch was held on Friday 5th July 2019 by HRH Duchess of Cornwall.

For McLaren, we provided sleek temporary showrooms with custom configuration showcasing vehicles from optimal angles, sophisticated lighting creating dramatic reveals whilst highlighting details, climate control maintaining comfort regardless of conditions, and branded finishes ensuring every surface reinforced McLaren identity.

  • Interior Design and Layout

A well-designed interior is essential for creating a comfortable, functional, and visually appealing event environment. Beyond the structural base of the tent, the choice of floor coverings plays a key role in shaping the look and feel of the space. Neptunus offers a range of interior finishing solutions that transform a temporary structure into a polished venue.

  • Lighting and Audio-Visual Integration

We regularly collaborate with trusted specialist partners who can supply and install festoon and fairy lights to create a warm, informal ambience, as well as professional rigging systems for theatrical lighting suitable for concerts and shows. Branded colour lighting and spotlighting can be used to reinforce corporate identity and highlight key areas.

Audio-visual integration includes sound system mounting, projection screens, live streaming capabilities, and Wi-Fi solutions, transforming our structures into fully functional modern venues.

  • Climate Control and Comfort

The UK’s variable climate makes comfort an important consideration for any event. Depending on the event type and season, climate control solutions can be integrated to create a pleasant indoor environment. The structures are suitable for the incorporation of heating and cooling systems and can be combined with insulated roof solutions to improve comfort and efficiency

  • Creating Functional Zones

A well-considered layout contributes to the smooth running of an event. By creating clearly defined zones, the space becomes both organised and functional. This can include a central main area, catering and service zones, spaces for meetings or informal interaction, VIP areas, exhibition spaces with sufficient circulation and lighting, and backstage areas where support functions remain out of sight.

Common Mistakes to Avoid

  • Inadequate Planning Time: Start planning in good time. Allow time for planning permission. Build contingency into schedules.
  • Underestimating Space: Calculate generously. Consider all functional zones beyond seating capacity. Our team can help with detailed space planning.
  • Ignoring Site Limitations: Conduct professional site surveys early. Measure actual dimensions. Test ground conditions. Identify overhead obstacles.
  • Overlooking Weather Protection: Invest in proper weatherproofing. Specify appropriate climate control. Plan for worst-case scenarios. British weather demands preparation, not hope.
  • Choosing Price Over Quality: Select experienced, accredited suppliers. Consider long-term value. Review safety certifications and insurance. The cheapest option often becomes most expensive when things go wrong.
  • Neglecting Planning Permission: Check requirements early with your Local Planning Authority. Work with experienced suppliers who understand the process. Build timelines into schedules.
